New Business ------------ The Yosemite star party (Jim Van Nuland): The National Park Service thinks of us as a small group since we reserved for 20, and we had to share the spot with campers, which cause some problems. It will be for 30 next year. We'll have more people wanting to go if we can get a moonless weekend, even so, it's a great deal (we get in for free). Request from Krishna Schan and the Kalpakam foundation: SJAA member working on Project Astro type program wanted a donation of a scope, possibly support and/or money, especially for an October star party. The consensus was that since they are in Oakland, there are other clubs closer that could help, donation idea got a cool response. Leonid meteor viewing at Henry Coe: At the last meeting we discussed the idea of the SJAA renting a bus(s) to shuttle the public to Henry Coe, thus avoiding the crowded road problem last year. Currently, it leaves something to be desired. Recently Dave North accepted $15 in cash from Bill Arnett for his membership dues. At roughly the same time Dave bought a telescope bag for one of our loaner scopes. He wanted to keep the $15 and have me write a check for the balance. This is easy enough to do, but our current method of accounting really has no reasonable way to track it--and it should. In fact, there isn't even a decent way to account for petty cash transactions. The checking account is *the* main account. It is made of the equipment fund, the education fund, and our general club fund. The petty cash is closely related--when it grows much beyond $100 or so, some of it is deposited into the checking account. I've thought of two possible ways of going: 1) Come up with a paper ledger with extra columns that would allow individual tracking of the various funds. 2) Set up computerized accounting (e.g. Quicken) With a paper ledger, we only need a pen and day-light. Anyone can look at it at any time and there's no need for specialized skills. However, any reports or summaries would have to be meticulously generated by hand. This method wouldn't be susceptible to computer crashes or power outages. Backups could easily be done on a copier. With Quicken (or whatever), we'd need a computer of course, so it isn't as accessible. However, report generation would be a snap. Ultimately, it might be a good idea for the club to get a laptop, so each subsequent treasurer would have the same software etc. Some of you may be thinking that computer tech. ages almost as fast as milk. That's true. However, once set up, the computer option would continue to do the same job for a long time. There really wouldn't be a pressing need to always have the very latest and greatest. My brother is a private hard-money lender (handles many accounts) and he *still* uses Quicken on an old DOS 286 machine! He says it still does exactly what he needs, so there's no great need to upgrade. What does the board think? Personally, I could live with either method. Any other options or ideas? Passing along a laptop that has all the treasury data is a good idea. Some places to find inexpensive laptops: - Ebay. - Computersurplus.com in santa clara. I think they had a couple of decent-looking P233 or so laptops last weekend. - That place in Santa Clara that's only open for a few hours on Saturday mornings (Computer Recycling?) usually has lots. - Halted (they have a few in a case, doesn't look like great selection). - Astromart used to have cheap laptops fairly often, don't know if that's still true.
