I just got this from Pat Donnelly. As we discussed in the board meeting in January, we will only submit a bid if requested by the FPOA board. I have personally offered assistance with the bid for FPOA starting with scanning and OCRing the RFI so that all FPOA members can assist with the proposal. I encourage all board members offer Pat some assistance with the RFI so that we can make sure that the best proposal is submitted to the state is from a nonprofit organization run by amateur astronomers, as it has been for the last sixteen years. I'm pleased to see that SJAA member Lew Kurtz will be assisting with the bid with all his state contract experience. Mike ******************* Pat's Note with cover sheet of RFI: Fellow FPOA Members: About 20 minutes ago I received a one page summary of the RFI in the mail from the State. The full RFI is available for $25.00 from them. I am asking the Board to authorize the purchase of one copy of the RFI. We can probably copy the document more cheaply than getting additional copies. The RFI is due on March 18, 2003, and it is to be mailed or delivered to Sacramento. There is not much time to work on the proposal, so anyone wishing to volunteer to help prepare the RFI should contact me ASAP. The summary indicates that it is a five year contract. Some of the important information in this summary is as follows: 1. The RFI requires that the proposer provide a 30" or larger telescope and give at least 20 public programs a year. 2. The annual rent is 10% of all Gross Sales over $10,000.00 (OK????). 3. A $1,000.00 performance bond is to provided at the time of the contract execution. 4. The summary indicates that the concessionaire will maintain the observatory. This micro summary says nothing about liability insurance, the areas around the observatory, etc. I shall attempt to get a copy of the RFI ASAP, so that we can begin working on it. I plan to contact Lew Kurtz, who indicated that he was interested in working on the RFI, and I plan to contact CL to try to a copy quickly. Your thoughts are appreciated. Patrick M. On Sunday, April 13, 2003, an astronomical auction and swap meet will be conducted at Houge Park in San Jose, sponsored by the San Jose Astronomical Association. We will have the auction first followed by a swap, to allow people some additional haggling time for those items which were optimistically priced by the seller in the auction, or to sell those odds and ends items which were better off being in a swap. It's an odd year, so Jay Reynolds Freeman will be our auctioneer. Those who have observed Jay's performance in previous auctions have learned to appreciate his skillful evaluation of classical astronomical items on the spot. Great entertainment for all! Doors open at 12:00 p.m. (or only slightly before) to register material for the auction, and view the auction material. The club reserves the right to accept only appropriate material for the auction so that the auction will run smoothly. A $1 donation is requested to obtain an auction bidder/seller number. The auction will begin at 1 p.m., and will run as long as needed. Seller may specify a minimum bid, which if not met, will return the item back to the seller with no commission applied. After the auction, buyers and sellers settle up using one check to (or from) SJAA and claim their items. Seller pays 10% commission, with a cap of $50 for any one item. We do not handle charge cards. After the auction, material for the swap meet will be allowed into the hall, about 3 p.m. or perhaps earlier. Each buyer pays the seller. Sellers are to keep track of their sales, and pay a 10% commission, as for the auction. There are no table fees. All commissions from the auction and the swap are tax-deductible, as SJAA is a 501(c)(3) educational organization. Do you have more than about 5 items? For an idea of what it should look like see: http://www.sjaa.net/swap.html Unfortunately, this did not happen for the auction last year. Jane, Please add/change the line: Do you have a large item to sell such as a telescope or more than 5 Items? Please email Jim Van Nuland at auction@sjaa.net with a description and a photo of the item or a link to your own website for some pre-auction publicity and to avoid a crush at the registration table. Mailing to auction@sjaa.net should go to three people: Bill Arnett, who will add it to the Auction Items webpage. JVN, who will preregister people and add the items to his auction program. Mike Koop, who will make sure that the two previous items happen. All three will make sure that the preregisted items are appropriate for the auction. Remember, those items which we determine are not auction worthy will be fine swap items. Our goal here is to make sure that the auction is no longer than 2 hours, which is about 100 items. We have hit it just fine for the last two years and I do not expect a problem this year. Jim, you need to inform the folks who are working the registration that you have people pre registered. I suggest that you fill out the auction form for the person and pre make the labels for the items. This did not happen last year and items got double listed, and mismarked. There are three club items I would like to auction off this year: 1) A Bausch & Lomb Criterion 4000 This was part of the Bob Hewitt estate. We were supposed to send it to a relative in Florida but the family has not given us the address. JVN has at least asked once for the address. It has been sitting in my house for the past year. It's time to auction it off. Dave North has evaluated it and says that it's not a keeper. If the family finally gives us an address, I suggest that we send a Orion XT6 as a more sutable replacement. I suspect we will not here from them again. 2) A 4" f/15 Home built Jeagers Refractor This is another item I have been storing for two years. It is just too heavy for the loaner program. Jim Bartolini is currently working on making a quick tripod to mount it on. My hope is we can get it to the Houge Park Star Parties in March and April with a sign that says "Buy this scope. Bidding Starts at $1.00." I am sure the views of Jupiter and Saturn will get us a good price for the scope in additon to bringing a few newbies who have not been to our auction before. 3) A Orion XT6 Dob Base This was donated by a member who put his scope on an EQ mount. As usual, the main money from the auction comes from donated material. We need to contact a few people to see if they are willing to donate auction items. Some people have been very generous to us in the past: James Turley has donated stuff from his company Sky Image Lab. John Gleason has donated some of his astro photos Sam at scope city has donated various astro stuff. Crazy Ed has donated various items for many years. A little creative thinking can get auction material donated. Jim's program has been working fine for years. We can still use it and have multiple computers working by doing some creative merging of the database before the actual selling and after the money has been collected. It is possible to use the Microsoft Office suite of Excel, Word, and Access to run the auction, but I don't have the time to learn the rest of these tools to do it. I'm sure there are many other ways to do it, but someone has to volunteer to take on the task. Until someone steps forward, Jim's program is it. I am sure this will be a topic of discussion this Saturday Night. Okay with me. I'll capture the registration data, and send the fellow the item numbers with some instructions. But I'll tell the pre-registrants that they should tell us that they pre-registered. > I suggest that you fill out the auction > form for the person and pre make the labels for the items. That's similar to what I'd done years back when prereg came directly to me -- I'd return their list with the item numbers added. Sometimes the person brought the items with numbers already on them, so I don't make up the labels. If there are but a few items, he can tag them on auction day; if he has a large number, it's best if he tags them at home. > Jim's program has been working fine for years. > We can still use it and have multiple computers working by doing some > creative merging Nope! There are master and slave versions of the program. Just before we start selling, each slave driver must close the program and bring the floppy to me. The master reads the stuff from the disk(s). To make it work, each person gets a block of bidder and item numbers, so there are no duplicates. Selling is done with the main machine only. Checkout on a slave would require a printer and a secondary treasurer. Gary would have to design a log to be kept for each payment, so there's a paper trail in addition to the computer. > It is possible to use the Microsoft Office suite of Excel, Word, and > Access to run the auction, It is rather amusing that we are still using a 1983 program written in BASICA, with some additions in Quickbasic. Its only shortcoming is that it can't allow someone to gracefully check out during the auction. Does someone have a working old line printer (with ribbon)? We need a backup for my 20-year-old C.Itoh. He says it still does everything he needs it to do, so why mess around. And it doesn't crash or give him headaches like *some* OS's we could mention. ;) > Does someone have a working old line printer (with ribbon)? We need a > backup for my 20-year-old C.Itoh. It takes regular paper and regular or wide fan-fold. :) It hasn't been run in years, but it should still work. I'm pretty sure I've got usable ribbon. I've also got fan-fold paper, both wide and regular. Gary P.S. I never heard back on this... The notice says we're having a swap too. Is that right? This longer version is what should be sent to all the AANC club newsletter editors for their April newsletters. Whoever wants to do this can send it to AANC editors and contacts AANC Contacts when it is the way you want it to go out. Editors need material about the 10th of the month, by the way. So this is the time to send the editors what you want in this month's Ephemeris. Perhaps more of a suggestion to have people register stuff rather than the announcement itself. The announcement should probably go to the various editors about now. We are also preparing the talk for tomorrow night today, so any material you send to us (so we don't have to write this article too) will be greatly appreciated. Here's what we currently have... The only "form" you need is the tablet on which you write the name and amount for each person who pays or is paid. A slave checkout would need the tablet, but also a second cashbox and checkbook. > > Does someone have a working old line printer (with ribbon)? We need a > > backup for my 20-year-old C.Itoh. But it'll be running audit trail during the auction, hence the request for another printer. > I've got an Epson LQ 2500. Good enough -- bring it along. I have fanfold paper. It's usually possible to refresh an old ribbon by opening the cartridge and spraying lightly with WD-40. If my C.Itoh holds up, we wouldn't need it, but I'm not at all confident. > P.S. I never heard back on this... The notice says we're > having a swap too. There's usually some stuff that is either not suitable for the auction, or doesn't sell. People can try to sell it afterward. Telescopes over a few hundred $ don't sell well at auction, but often will go at the swap, when the buyer has more time to look and think. -- Jim Van Nuland, San Jose (California) Astronomical Association JVN's web site From jane at whiteoaks.com Sun Feb 16 12:12:07 2003 From: jane at whiteoaks.com (Jane Houston Jones) Date: Sat Sep 30 03:57:18 2006 Subject: [SJAABoard] March Ephemeris Auction blurb - please read and reply Message-ID: <3E4FF097.5090704@whiteoaks.com> How is this for the March Ephemeris article? We'll run the longer article which JVN rewrote last night (thanks Jim) in the April issue. Jim will also send the longer article to the other club newsletter editors and contacts. We'll finish the newsletter, editing and all, in the next couple hours, so speak up right away if you'd like to rewrite this yourself. :-) Title: Pre-register now for the April 13 SJAA Auction The twenty-third annual SJAA auction is just around the corner. Do you have telescopes or unusual or pricey astro-gear to sell? If you to, it will sell better with some pre-auction publicity. Also, if you have more than 5 items (large or small), please send a list with a short description and minimum bid. This will avoid the crush at the registration table. The auction and swap are fundraisers for the club loaner program, so please consider donating items to the auction. All commissions from the auction and the swap are tax-deductible, as SJAA is a 501(c)(3)educational organization. Please email your lists of items, or your large items to auction central - auction@sjaa.net with a short description and a photo of it, or a link to your own web page. If you have a question about the suitability of an item you'd like to auction, you can send your questions to this address too, before the auction. As in past years, the SJAA reserves the right to refuse inappropriate items. -- Jane Houston Jones San Rafael, CA jane@whiteoaks.com http://www.whiteoaks.com From jvn at svpal.org Sun Feb 16 13:42:16 2003 From: jvn at svpal.org (Jim Van Nuland) Date: Sat Sep 30 03:57:18 2006 Subject: [SJAABoard] March Ephemeris Auction blurb - please read and reply References: <3E4FF097.5090704@whiteoaks.com> Message-ID: <3E5005B8.19CA@svpal.org> Jane Houston Jones wrote: > > How is this for the March Ephemeris article? Hooray! Too bad it is also the FPOA Star-B-Cue weekend. :-( But every weekend in the summer has several astro-events to choose from which is a good thing. The new-moon weekend in August would have the southern part of the summer Milky Way lost in the trees. And the new moon in June is in serious risk of having a campground full of snow. Message-ID: <3E5DC386.5D7E@aenet.net> Once in a great while, when we get clouded out at a star party, we'll often look at terrestrial objects, just to show off how well our scopes work (since we're there anyway and there's not much else to look at). That happened again at a recent star party. Sometimes the target is a house, condo, apartment, hospital room, etc. Now, I'm not pointing fingers, many of us have done it, I've done it myself. However, the more I think about it, the more I'm convinced this is a bad idea at public and school star parties. Oh sure, it's fun at the time. It seems innocent enough and everyone enjoys it, but people will remember that and possibly think twice about it later. At the very least, it sets a bad example. I hate to think someone might come away believing that amateur astronomers could become remote peeping Toms whenever the clouds block the sky. So, at the next board meeting, I propose the SJAA board adopt a policy that the SJAA discourages the use of scopes to observe a private dwelling or other place where anybody at that location would reasonably expect privacy. I'm not saying this has to be a hard and fast rule, just that the SJAA should officially frown on its members openly and joyfully doing this at public events. Gary
