Items remaining to be addressed: 1. Fee. The current fee is $22 per night, but we may get a reduced fee for "off-season" and additionally, a 3 nights for the price of 2 deal. I am contacting the ranger this week regarding this matter. 2. Porta potties. I will fax the ranger a diagram showing the field and where we'd like them located. I'll provide an explanation that at night, when it is dark, it is much more difficult to walk distances to a "pottie-row" like they had last year. 3. Food services. I have the caterers (Valley Catering) reserved for Friday and Saturday dinners. Within the next month I will work out a menu with them, then contact attendees as the star party gets closer in order to know approximately how many of what meal choices to tell the caterer. Same drill as last year. I suggest selling tickets for dinner - easy - just like a raffle ticket. This will allow purchasing of dinners ahead of time and eliminate having to handle money at the time food is being dished out. There were differing opinions on this idea, so please, discuss what makes the most sense and let me know. I will need some assistance with either selling the tickets, or collecting money at the food line - I have done it the past two years and would like to just get in line and eat this year, rather than having to run the show. 4. Is there any interest in an astro-swap? James Turley did one a few years ago. If so, I will not be in charge of it, but the SJAA may want to consider it - since there will be amateur astronomers from all over the state attending. 5. Announcing the star party - I think this is pretty much taking care of itself. We (someone) can certainly contact other clubs - perhaps NorCal clubs via the AANC newsletter editor's mailing list - and SoCal clubs separately - but I have done this for the past few years and would like to not have so much to do. So far we have 69 registrations, some with multiple people - so I really think word of mouth works great - and it also keeps the think low key, which was the original intent. 6. BBQ - I will ask the ranger to make the big BBQ available to us this year. However, I think most people go for the catered meals. Thoughts? 7. When we get the price and meals sorted out, I will e-mail everyone that has registered, advising them of the what cost and food options are, and I will update the web-page. 8. I will leave it to Koop or others to do a flyer to be handed out to attendees. This cannot be done at the gate, as the rangers do not want extra work - so it will need to be done as people drive in to the campgrounds (and that, is a pain). 9. I will arrange to have saw-horses to block the roads at dark. We will need cardboard signs and a staple gun to attach the signs to the saw horses. 10. I will make sure the field is sufficiently watered down a few days prior to the event, and that the water truck does the road as in prior years, in order to help knock down dust. Is there anything anyone can think of that I am forgetting? I've learned that they never water the field. It is a big field! What the will do is have a water truck do the roads in the overflow campground a few times a day, as in past years. I told the ranger that I would have the SJAA send a letter to his attention with the specifics of what we need in the way of porta pottie layout, BBQ, roads watered, entrance price agreed to, and sawhorses. Please have a letter prepared. I will get the mailing address. Any questions? That's typical of the first half of the yearly "June Slaughter." Due to the old S&T 'june subscription' thang we still have our biggest renewal chunk in June each year. As those folks cycle out, we get a pulse of losses in August and September. Some of them usually reappear later in the year as they notice they're not getting an Ephemeris any more. So I wouldn't take it too seriously; the club's numbers are still strong and this is fairly normal. Sounds like the grinding and polishing is done (after 16 years), but the group is largely out of money and would need a lot more work and funds to get the mirror into a telescope structure or observatory. This project has been mentioned a few times before on TAC, and I think someone asked in the last year if there were any updates on the current status of the project. We've been talking for a long time about having an observatory of our own. For the most part, it wouldn't be much more than a paved place to set up our scopes far from city lights, but still within a couple of hours of San Jose. Assuming they get funding etc., if Group 70 would be willing to put this scope relatively nearby, maybe we should consider joining forces.
